Position Summary
The Executive Assistant & HR/Payroll Coordinator provides high-level administrative support to leadership while managing essential HR and payroll functions. This role ensures smooth office operations, accurate payroll processing, and compliant, confidential handling of employee records.
Serving as a key point of contact for employees and leadership, this position supports onboarding, offboarding, and day-to-day HR activities while maintaining strong organization, communication, and attention to detail in a fast-paced environment
Qualifications & Requirements
Must be at least 18 years of age
Bachelor’s degree in Human Resources or Business Administration preferred. Equivalent professional experience in Administrative Assistant/HR role may be considered in lieu of a degree.
Minimum of 4 years’ experience in an Executive/HR Admin role.
Extensive knowledge of payroll principles, labor laws, and HR best practices.
Proficiency in financial software, Construction ERP Software, (esp. Viewpoint Spectrum), Concur, and Microsoft Office Suite (Excel, Word, PowerPoint, Teams).
Exceptional analytical, problem-solving, and organizational skills. Strong attention to detail and accuracy.
Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and external stakeholders.
Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Key Responsibilities:
· Executive Support: Prepare and edit correspondence, presentations, reports, and other documents as required. Act as a liaison between executives and staff, fostering effective communication and collaboration. Manage inbound calls for company toll-free line.
· Operations Support: Enter, maintain and close work orders. Enter purchase orders as needed. Track and report on equipment rental costs. Assist with vehicle fleet management including maintaining current registration on all fleet vehicles. Maintain adequate inventory of employee personal protective equipment (PPE).
· HR Records & Database: Maintain accurate employee records, including personnel files and performance data, ensuring compliance and confidentiality. Maintain updated company org chart.
Onboarding: Work directly with the Talent Acquisition Manager and HR Director to schedule drug screens, verify work authorization, and enter employees into accounting systems. Order computers, business cards, and company credit cards. Train and assist new employees with time-entry software.
Offboarding: Collect and complete all offboarding paperwork, ensure all company property has been collected, remove employees from accounting systems, and ensure benefits have been terminated and COBRA information sent.
Payroll: Process weekly payroll including reviewing work orders, approving payroll runs, and ensuring proper tax withholdings and benefit deductions. Ensure accuracy, timeliness, and compliance with federal and state regulations. Collaborate with HR and external providers as needed. Prepare reports as needed.
Employee Relations: Act as a liaison between staff and management, handling inquiries regarding company policies, benefits, and payroll. Update company policies and employee handbook as needed. Assist with special events or HR projects. Coordinate living arrangements for employees as they travel between sites.
